Privacy notice

How Hawthorn Title LLC collects and uses your information on this platform.

Information we collect

When you sign up, we collect your name, email, mobile phone, and real-estate license number and state, plus any additional fields the company asks for. As you work, we record your closings and file attributions, commissions and pay, timekeeping, deliverables, leave requests, performance standing, and any notices or appeals. For account security we hold your login and two-step verification (through our authentication provider) and, if you opt in, a push-notification device token. We do not collect your Social Security number, date of birth, bank account, or government-ID numbers on this platform. When you sign up, we also record the network (IP) address, approximate location, and browser type of that request, plus how long the form took, kept for 30 days to detect automated abuse.

Why we use it

To run the compensation plan and pay you, to administer employment processes (time, leave, standing, appeals), to secure your account, and to meet our legal, tax, and insurance-regulatory obligations.

Who we share it with

Service providers who run the platform for us under contract — our database, authentication, and storage provider and our hosting provider. If you enable notifications, we send only a generic category (such as “You have a new update”) to your device’s push service — never your name or the details. We also share information with regulators, tax authorities, or as required by law. We do not sell your information, and we use no advertising or tracking services.

How we protect it

Access is restricted so that, in general, you see your own information and your team’s — not other employees’ data. We encrypt information in transit and at rest, require two-step verification for administrators, and keep an audit trail of access to sensitive records.

How long we keep it

We keep your information while you work with us and afterward as required by tax, employment, and insurance record-retention laws.

Your choices

You can ask to see or correct your personal information by contacting your Hawthorn Title LLC administrator. Some records must be retained by law and cannot be deleted on request.
